This policy explains the information PoolMgmt.app collects, uses, and protects.
Information We Collect
PoolMgmt may collect account information, company information, employee records, customer contact details, service locations, pool details, route records, service notes, photos, item usage, billing preparation records, activity logs, device/browser information, and integration metadata needed to run the application.
How We Use Information
Information is used to provide pool service management features, authenticate users, separate company data, support route and service workflows, prepare billing records, troubleshoot issues, improve the product, and communicate about the service.
Customer and Employee Data
PoolMgmt stores customer and employee information on behalf of the pool service company using the app. The company controls who is allowed to view and manage that information inside its workspace.
Photos, Location, and Service Records
When enabled by the user and device, PoolMgmt may store service photos, timestamps, GPS or map-related information, route context, gate/access notes, chemical readings, item usage, and technician notes. These records are used for service history, accountability, customer support, billing preparation, and operational review.
Accounting Integrations
When a user connects an accounting provider such as QuickBooks, PoolMgmt uses the authorization granted by the user to match customers, map items, create draft invoices, and sync invoice status as configured. OAuth tokens are stored server-side in protected storage and are not displayed in the application.
Email and Notifications
PoolMgmt may send account, invitation, support, request, invoice-test, or operational emails. Email delivery may use third-party mail delivery services. Users are responsible for making sure customer-facing messages are accurate before sending.
Cookies and Similar Technologies
PoolMgmt uses cookies or similar browser storage for login sessions, security, preferences such as light or dark mode, and app functionality. Disabling cookies may prevent parts of the app from working correctly.
Data Sharing
PoolMgmt does not sell company or customer data. Data may be shared with third-party services only when needed to provide requested features, such as accounting integrations, email delivery, hosting, security, or support troubleshooting.
Legal Acceptance Records
When users request access, create an account, or accept an invitation, PoolMgmt may store the accepted Terms and Privacy Policy versions, timestamp, IP address, and browser information to support account administration, auditability, and dispute resolution.
Service Providers
PoolMgmt may use infrastructure, database, backup, email, DNS, security, analytics, or support providers to operate the service. Those providers may process limited data only as needed to provide their services.
Security
PoolMgmt uses login controls, company data separation, protected server-side credential storage, HTTPS, activity logging, and operational safeguards intended to protect business data. No system can guarantee perfect security.
Retention
Operational records may be retained as needed for service history, billing history, troubleshooting, auditability, backups, legal obligations, or legitimate business purposes.
Deletion and Export Requests
Company owners may request help exporting or deleting company data, subject to backup retention, legal obligations, accounting records, security needs, and technical limitations. Some records may be retained where needed for auditability or legitimate business purposes.
User Choices
Users may disconnect integrations, update account information, and request assistance with data access or correction by contacting PoolMgmt support.
